This Privacy Policy explains how Search Intelligence System ("we", "us", "our") collects, uses, shares and protects personal information when you visit searchintelligencesystem.com, request our free growth audit, become a client, contact us, or receive calls, emails or text messages from us. It should be read together with our Terms & Conditions.
Our services are built for businesses. Most of the information we handle is business information, such as a company's website, rankings and reviews. Where it identifies a person, such as your name, email or phone number, this policy applies to it.
Information we collect
Information you give us
- Contact details: your name, business name, email address and phone number.
- Business details: your website, industry, service area, goals, budget range, competitors, current marketing, and anything else you tell us in the survey, by email, on a call or in a meeting.
- Text message consent: whether you agreed to receive text messages, the exact wording you agreed to, and when.
- Client information: if you hire us, billing contacts, invoices and payment records, and the access you grant us to accounts such as Google Search Console, Google Analytics, Google Business Profile, Bing Webmaster Tools or your website.
Please do not send us sensitive personal information, such as health details, government ID numbers, financial account numbers or passwords, through our forms or by text. We do not ask for it and do not need it to do the work. Share account access through the platform's own user invitation feature, not by sending a password.
Information collected automatically
- Technical data: IP address, browser type, device type, pages visited and the time of your visit, used to deliver the site and to block spam and abuse.
- Analytics: if enabled, Google Analytics measures in aggregate how visitors find and use the site. See Cookies and tracking.
- Saved progress: the survey keeps your unfinished answers in your own browser tab (session storage) so a reload does not lose them. They stay on your device, are deleted when you submit or close the tab, and are not sent to us until you press submit.
Where information comes from
- You, when you fill in a form, email, call, text or meet with us.
- Public sources, such as your website, search results, maps listings, online reviews, social profiles and business directories. Reviews and listings can include the names of the people who wrote them, as published on those platforms.
- SEO and data tools listed below, which report on websites, rankings, links and listings.
- Accounts you connect, when a client grants us access to their analytics, search or listing accounts.
How we use information
- To review your business and prepare the audit, report or answer you asked for.
- To contact you about your request by email, phone or, if you opted in, text message.
- To provide, manage, measure, report on and bill for services you engage us for.
- To keep the website and our systems secure, and to prevent spam, fraud and abuse.
- To understand how the website is used and improve it and our services.
- To keep records, resolve disputes, enforce our agreements and meet legal obligations.
We do not sell personal information. We do not share it for targeted or cross context behavioural advertising. We do not use it to make automated decisions that have legal or similarly significant effects on you.
SEO and analytics tools
To audit and improve a business's visibility, our team uses tools including:
- Google Search Console
- Google Analytics
- Google Tag Manager
- Google Business Profile
- Google PageSpeed Insights
- Bing Webmaster Tools
- IndexNow
- Ahrefs
- Semrush
- BrightLocal
- Moz
- Screaming Frog SEO Spider
Most of what these tools process is information about websites and businesses, such as pages, rankings, links, search queries, listings and reviews. When we enter a client's domain, business name, service area or competitors into a tool, that tool processes it under its own terms and privacy policy. We do not enter your personal contact details into these tools unless a task requires it.
- Crawling: we crawl the websites we audit with tools such as Screaming Frog SEO Spider, at a moderate pace, to find technical problems.
- Indexing notices: for client sites we manage, we may send page addresses to search engines through IndexNow and Bing Webmaster Tools, and request indexing in Google Search Console. Only page addresses are sent, never personal information.
- Client accounts: data we view in a client's Search Console, Analytics, Tag Manager or Business Profile account stays in that account. We export only what a report needs.
Artificial intelligence
We use AI tools to work faster and more thoroughly. Providers we use include:
- ChatGPT and the OpenAI API (OpenAI)
- Claude (Anthropic)
- Gemini (Google)
We use them to:
- analyse audit findings, survey answers, public business information and tool exports;
- draft reports, recommendations, website copy, listings content and emails, which a person on our team then reviews and edits;
- check how a business appears in AI assistants such as ChatGPT, Google Gemini and AI Overviews, Microsoft Copilot, Perplexity, Claude, by asking them questions a customer might ask and recording the answers.
How we handle information in AI tools:
- We use business, team or API account types, or settings, that do not allow the provider to use our inputs to train its models.
- We keep personal information out of AI tools where the task does not need it, and never enter passwords, payment details or sensitive personal information.
- A person reviews AI assisted work before it reaches you, and AI is never used to make decisions about you with legal or similarly significant effects.
- AI providers process inputs under their own terms and may keep them for a limited time for security and abuse monitoring.
If you would rather we did not put information you gave us into AI tools, email us and we will handle your work without them where we reasonably can.
Who we share information with
We share personal information only as described here:
- Hosting and security (Cloudflare) to serve the website, deliver forms and block bots and abuse.
- Customer management (GoHighLevel) to receive and organise your request, our follow up and client records.
- Communication providers, including our phone and text messaging carrier and email services, to deliver the calls, emails and texts you asked for.
- SEO, analytics and AI providers described above, when a task requires it.
- Google for analytics, if enabled, and for loading the site's fonts.
- Payment and accounting providers to invoice clients and take payment. We do not store full card numbers.
- Professional advisers such as accountants, insurers and lawyers, under a duty of confidentiality.
- Legal and safety: courts, regulators or law enforcement when the law requires it, or to protect the rights, property or safety of us, our clients or others.
- Business transfers: a buyer or successor if Search Intelligence System is merged, sold or reorganised, under the promises in this policy.
Service providers may use the information only to serve us, and not for their own marketing.
Text messaging (SMS)
If you tick the text message box on our forms, we may send you appointment reminders, support messages and updates about your request. Message frequency varies and message and data rates may apply. Reply STOP to unsubscribe at any time, or HELP for support. Consent to texts is optional and is never a condition of using our website, receiving your audit or buying our services. Mobile information will not be shared with third parties/affiliates for marketing/promotional purposes. All the above categories exclude text messaging originator opt-in data and consent; this information will not be shared with any third parties.
Calls and email
- We may call the number you gave us about your request. We do not use automated dialling or prerecorded messages to reach you without the consent the law requires.
- Calls with our team may be recorded for quality, training and record keeping. Where the law requires it, we tell you at the start of the call and you may ask us not to record.
- As part of an audit you request, we may call your business line and submit your website forms the way a customer would, to test how enquiries are handled. Test contacts are identified as tests afterwards and are not a sales call to you.
- Marketing emails always include a way to unsubscribe, and we honour requests promptly. Service emails about your audit or account may still be sent.
Cookies and tracking
The site uses a small number of cookies and similar technologies that are needed to run it securely. If we enable analytics, Google Analytics and Google Tag Manager set cookies that tell us, in aggregate, which pages are visited and how people arrive. We configure analytics with IP anonymisation and do not use it to identify you.
We do not use advertising pixels, session recording, keystroke logging or chat widgets that capture what you type before you submit it. We do not sell or share information for advertising. Our site honours the Global Privacy Control signal as a request to opt out of any sale or sharing, and we will add a consent choice before introducing any tracking that would need one.
You can block or delete cookies in your browser settings, and you can opt out of Google Analytics with Google's browser add on. The site still works without cookies.
Data in client accounts
When a client gives us access to their website, analytics, search or listing accounts, we may see information about that client's own visitors and customers. We handle it only on the client's instructions, only to deliver the agreed work, and keep it confidential. The client is responsible for its own privacy notices and for having the right to share that access with us. Questions about how a client uses your data should go to that client first.
How long we keep it
- Audit requests that do not become clients: up to 24 months, then deleted or anonymised.
- Client records: for the relationship and then as long as tax, accounting and legal obligations require, usually up to 7 years.
- Text message consent records: while we message you and for at least 5 years afterwards, as proof of consent.
- Security logs: for a short period, usually no more than 12 months.
We may keep information longer where the law requires or to resolve a dispute.
Security
Information is sent over encrypted connections (HTTPS), held with providers that use industry standard safeguards, and limited to the people who need it for their work. Access to client accounts is granted through each platform's own user permissions and removed when the work ends. No system is perfectly secure. If a breach affects your personal information, we will notify you and the authorities as the law requires.
Your rights and choices
You can ask us to tell you what personal information we hold about you, to correct it, to delete it, or to stop contacting you. To make a request, email email@searchintelligencesystem.com. We will confirm your identity before acting, reply within 45 days, and not treat you differently for making a request.
- Text messages: reply STOP to any message.
- Email: use the unsubscribe link, or email us.
- Calls: tell us on the call or by email and we will stop.
- Cookies: use your browser settings or the Global Privacy Control signal.
US state privacy rights
Residents of California and other states with consumer privacy laws, including Colorado, Connecticut, Delaware, Indiana, Iowa, Kentucky, Maryland, Minnesota, Montana, Nebraska, New Hampshire, New Jersey, Oregon, Rhode Island, Tennessee, Texas, Utah and Virginia, may have the right to:
- know the categories and specific pieces of personal information we hold, where it came from, why we use it and who we share it with;
- access a portable copy, correct it, or have it deleted;
- opt out of sale, sharing, targeted advertising and profiling. We do none of these;
- limit the use of sensitive personal information. We do not collect it for any purpose that triggers this right;
- use an authorised agent, who must show written permission from you;
- appeal if we decline your request, by replying to our decision. If the appeal is denied you may contact your state attorney general.
In the past 12 months we collected these categories: identifiers (name, email, phone, IP address), commercial and business information, internet activity on our site, and inferences about business needs drawn from your survey answers. We collected them from the sources and for the purposes above, and disclosed them only to the recipients above for business purposes. We have not sold or shared personal information, and we do not knowingly sell or share the information of anyone under 16.
California residents may also ask what personal information we disclosed to third parties for their direct marketing. We do not make such disclosures.
Visitors outside the United States
We are based in the United States and our providers may process information in the US and other countries. If you are in the UK, the European Economic Area or a similar jurisdiction, we rely on these legal bases: taking steps you ask for before entering a contract and performing it, our legitimate interests in running and improving our business and preventing fraud, your consent (for example for text messages, which you can withdraw at any time), and legal obligations. International transfers rely on safeguards such as the providers' standard contractual clauses. You may also complain to your local data protection authority.
Children
Our website and services are for businesses and adults, and are not directed to anyone under 18. We do not knowingly collect information from children under 13, or from anyone under 18 through our forms. If you believe a child has sent us information, contact us and we will delete it.
Changes to this policy
We may update this policy as our services, tools or the law change. The date at the top shows the latest version. If we make a material change, we will post it here before it takes effect and, where required, tell you directly or ask for your consent.
